Project Assistant

Responsibilities

  • Assistance to Project Director and Project Manager
  • Assistance to Site Personnel

 

Tasks (non limited)

  • Assist to the kick-off meeting (when required)
  • Fill the form ‘’Ouverture de projet’’, coordinate with the receptionist to make sure that the project information is compiled into the on-going projects’ list, and submit the information to the accounting department
  • Open the project into the FileMaker Pro Database
  • Execute the ‘’Ouverture et fermeture de chantier CNESST’’, and prepare the health and safety program
  • Get the required insurance certificates
  • Get the proper project bond (when required)
  • Execute all FileMaker Pro database entries: client, professionals, subcontractors and suppliers’ lists, budget, changes, plans, specifications, directives, contracts, purchase orders, and change orders to the subcontractors, suppliers, shop drawings, etc.
  • Complete various forms: permits’ request, Hydro Quebec, Energir, etc.
  • Send changes to concerned subcontractors and receive their quote. Prepare the project changes in accordance with the Project Director or Project Manager instructions and approval. Update the directives and project’s changes using the follow-up tools
  • Prepare the letters of intent, contracts, purchase orders, and change orders to the subcontractors and suppliers
  • Treat and code the subcontractors and suppliers’ invoices related to the project
  • Project invoicing (in collaboration with the accounting clerk dedicated to the accounts receivable)
  • Correspondence (minutes of meeting, letters, emails, reports, etc.)
  • Prepare the project turnover package documents: maintenance manuals, guarantees, As-Built drawings, etc.
  • Support to the Project Director or the Project Manager helping them into the coordination with the professionals and the client
  • Support to the Project Director or the Project Manager helping them into the coordination with the construction site personnel

  • Work schedule: 8:00 am to 5:00 pm, including one hour for lunch (not paid)

 

Qualifications

  • Experience into the construction field: required
  • French written and spoken: very good
  • English written and spoken: good
  • Microsoft Office: intermediate
  • FileMaker Pro: an advantage
